We have two ways to access timetables online. Each has a different purpose and they don't show the same information.

  1. Web Timetables - provide general timetable information
  2. Mobile App Timetables - provide personalised timetables

1. Web Timetables - also known as Scientia Web Server (SWS) timetables

Web Timetables are publicly available. You don't need to be a registered student or have a DS login to access them i.e. they are NOT personalised.

Use Web Timetables if:

  • You're a potential student and you're want to find out when certain Programmes of Study or Modules run
  • You don't have a personalised timetable in the Mobile App yet because:
    • it's before the start of term and personalised timetables haven't been released yet or
    • you haven't completed registration yet (for whatever reason)
  • Your personalised timetable is available in the Mobile App but some modules/activities aren't listed. Therefore you need to "plug in the gaps" in your personalised timetable. This can happen if:
    • you recently made changes to your curriculum and they haven't been approved by your advisor of studies yet or
    • you haven't been allocated to a module/activity in the timetabling system yet

How to access Web Timetables:

2. Mobile App Personalised Timetables

Personalised Timetables are available to registered students (and also teaching staff). To see a personalised timetable:

  • you must have fully registered
  • you must have chosen your curriculum and have had your curriculum approved
  • you must be allocated to your relevant modules/activities by your Department

The Mobile App takes a data feed from the university timetabling system and uses it to create a personalised timetable.

If timetabled activity is not showing in a student's personalised timetable then in 99.9% of cases it's an issue with the data in Syllabus+, not with the Mobile App

Troubleshooting:

  1. Ensure you have updated to the latest version of the Mobile App.
  2. If you are using the latest version there's no need to uninstall and reinstall. This is old advice for a caching problem which was fixed in a previous app version.
  3. Check you have registered, you have chosen your curriculum and have had your curriculum approved. You can't be allocated to timetabled activities until this has been completed.
  4. Check which programme you are registered on. International Study students and some other departments such as PGDE and MBA have their own methods of disseminating timetable information. If your department doesn't use Syllabus+ then you can't get a personalised timetable.

Some common issues:

Q. I'm not seeing all the modules I expect to see on my Personalised Timetable

A. Ask the student to contact their department using the enquiry form on the Personalised Timetables page or in the Mobile App. In most cases modules will be missing because students haven't been allocated to the activity in the Syllabus+ system yet.

Q. I have tried to contact my department using the enquiry form but I get an error message

A. Students must be registered or valid to register on a programme of study for the system to determine which faculty mailbox to direct their enquiry to (Engineering, Humanities, Business School, or Science). For example, International Study students are separate from the 4 faculties, therefore their enquiry can't be redirected and the system will throw an error. In this case, students should contact the International Study centre directly.

Q. I have sent an enquiry to my department but haven't had a response

A. Staff monitor the mailboxes and should be able to answer enquiries provided they have been given enough information. "My timetable is wrong" isn't enough information to go on. Advise the student to complete the form with details of what they expect to see and what they are actually seeing.

Q. How long does it take for a change in my curriculum to show on my personalised timetable

A. Curriculum changes must first be approved by your advisor of studies. The data then has to be imported overnight from the student record system to the Timetabling system. Once in the Timetabling system, students have to be allocated to each activity. Then this data is sent to the mobile app every 2 hours. This whole process can take between 24 and 48 hours. While waiting, students can use the Web Timetables.

Q. My personalised timetable is still showing details for a module which was removed from my curriculum on [X] date.

A.  For the first few weeks of a new term, the timetable system provides a mixture of provisional choices and actual choices for the Mobile App. This is to ensure the personalised timetable in the Mobile App is populated with activities while advisers are busy approving student curriculum choices or any curriculum changes made after the start of term. The Timetabling Team make the switch in the timetabling system to return actual choices only to the Mobile App a few weeks after the start of term. This year it will happen from 10th October 2022. At this point, any old or provisional choices will automatically disappear from the personalised timetable.
